Large education forums require event environments that can support plenary sessions, smaller breakout discussions, informal networking and consistent branding across multiple spaces. For the Qudwa Global Teachers’ Forum at Emirates Palace in Abu Dhabi, Evolution delivered a comprehensive scenic package for an international gathering of more than 800 educators.


Supported by the Education Affairs Office within the Crown Prince Court of Abu Dhabi, the forum welcomed senior dignitaries including His Highness Sheikh Abdullah bin Zayed Al Nahyan and His Excellency Sheikh Nahyan bin Mubarak Al Nahyan. Evolution’s scope included a fully customised main auditorium, nine breakout rooms, bespoke stages and backdrops, corridor infographic installations, furnished outdoor terraces and branded scenic and digital elements throughout the venue.

The Challenge


The forum required Emirates Palace to be transformed into a cohesive education event environment spanning multiple rooms and guest areas.


The main conference needed a professional auditorium for keynote content, while nine breakout rooms had to support smaller sessions and discussions. Six of these rooms were created within the ballroom itself, requiring careful scenic division and individual staging within a shared venue.


The event also needed to extend beyond formal presentation areas. Corridors had to communicate useful content, outdoor terraces needed to support lunch breaks and informal interaction, and the Qudwa brand had to remain consistent across all scenic and digital touchpoints.

The Solution


Evolution developed a multi-zone scenic solution tailored to the programme and layout of the forum.


Six breakout rooms were constructed inside the ballroom, each with its own bespoke stage and backdrop. Three additional breakout rooms were created elsewhere within the venue, giving the event nine dedicated smaller-session environments in total.


For the main conference programme, Evolution delivered a fully customised auditorium designed to provide a clear and professional setting for keynote presentations and large-format sessions.


Corridors were transformed into informative spaces through custom infographic installations highlighting key insights and takeaways from the forum. This extended the event content beyond the conference rooms and created additional points of engagement for attendees moving through the venue.


Outdoor terraces were furnished with custom-designed furniture, providing more relaxed spaces for lunch breaks and informal discussion.


The Qudwa identity was applied consistently across scenic and digital elements, ensuring that the main auditorium, breakout rooms, circulation spaces and hospitality areas all felt part of one coordinated event environment.

Outcome


The completed environment transformed Emirates Palace into a coordinated forum setting capable of supporting large plenary sessions, smaller breakout discussions, content-led circulation spaces and informal networking.


The nine breakout rooms provided dedicated environments for focused sessions, while the custom auditorium established a clear focal point for the main conference programme. Infographic-lined corridors extended the learning experience beyond formal rooms, and the furnished terraces created additional spaces for attendee interaction.


The project demonstrates Evolution Scenic’s ability to deliver complex multi-room conference environments where staging, spatial division, branding, educational content and hospitality areas all need to operate together within one venue.
